Is there a candidate pool and how do I use it?

At Instaffo, we don't have a traditional candidate pool. Instead, we rely on intelligent matching, and that's where the Smartpool comes in.

What is the Smartpool?

The Smartpool contains talents who have already applied to you once and whom you've actively added to the Smartpool when rejecting them. This means: You've decided that this talent could potentially be interesting for a future position or at a later point in time.

Important: Talents only appear in the Smartpool if they match one of your currently open positions. 🧩

How do I add talents to the Smartpool?

When you reject a talent for a specific position, but still find them potentially interesting, you can easily add them to the Smartpool.

Here's how:

1. Click "Reject" in the application process
2. Enable the option "Add to Smartpool"
3. The talent will be saved and suggested again in the future if they match a new position

➡️ This feature is only available in the Professional package.

Where do I find the Smartpool?

You'll find the Smartpool in the Talent Feed under the "Smartpool" tab, which is marked with "PRO". It displays only talents you've personally added who currently match one of your open positions.

🔍 So you won't see any random saved talents, just relevant suggestions.

What can I do with talents in the Smartpool?

When a talent appears in the Smartpool, you have two options:

• You can respond to the original application and continue the chat there
• Or you can use the "Suggest Position" button to send the talent a new matching position directly

The talent can then decide whether they'd like to reconnect. 💬

• The Smartpool is part of the Professional package
• You actively control which talents are saved
• Only talents with current matches are displayed
• You can always go back to old applications or make new suggestions anytime
